Introduction

Taskflowify, LLC ("we," "us," "our," or "Taskflowify") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and protect information when you visit taskflowify.com, use your account and client dashboard, use our AI automation platform and the customizations we build on it (the "Platform"), whether hosted in our cloud or installed on your own equipment, or work with us on a project (together, the "Services"). Please read it together with our Terms of Service. If you do not agree with this policy, please do not use the Services.

Two Kinds of Information

  • Information about you, our client or visitor: for example your account, proposals, projects, and messages. We decide how this information is used, as described in this policy.

  • Information about your customers, processed through the Platform: for example the people who call your business or receive its text messages. We process this information on your behalf and under your instructions. You are responsible for giving your customers any notices and obtaining any consents the law requires, as described in our Terms of Service. If one of your customers asks us about their information, we will refer them to you.

What Type of Information Do We Collect?

Account information: your name, email address, and password. Your password is stored only in a scrambled, one way form that cannot be read back, not even by us.

Proposal and project information: company name, contact details, project descriptions, budget ranges, files you attach, messages, project documents, and your electronic signatures. For each signature we record the document version, your typed name, and the date, time, and network address.

Contact form information: your name, company, email address, subject, and message.

Billing information: your billing contact and invoice records. We do not take card payments on this website and do not store payment card numbers.

Platform information: the data your business and your AI Virtual Assistants create while using the Platform, such as caller phone numbers, call audio and transcripts, text messages, emails, appointments, support tickets, and other business records.

License activation information: for on premise installations, the license key (serial number), application version, basic device details, and network address, sent when the application activates and while it runs.

Technical information: your network (IP) address, browser type, the pages requested, and the date and time of each request, recorded in our server logs.

How Do We Collect Information?

We collect information when you:

  • Create an account or confirm your email address

  • Submit a proposal, upload files, send messages, or sign project documents

  • Fill out our contact form or email us

  • Call our office and agree to receive text messages. We keep your number, the date and time, your words, and the call transcript as the record of your consent.

  • Use the Platform, including calls and messages handled by your AI Virtual Assistants

  • Install and activate the Platform on your own equipment

Information is collected automatically through:

  • Our server logs

  • A single sign-in cookie that keeps you logged in

  • License checks made by on premise installations

Why Do We Collect Personal Information?

We use the information we collect to:

  • Review proposals, prepare project plans, and deliver and support your projects

  • Operate the Platform and your AI Virtual Assistants

  • Verify licenses and deliver updates to on premise installations

  • Manage your account and answer your questions

  • Send service emails, such as email confirmations, password resets, project updates, and invoices

  • Keep a record of signed agreements

  • Protect the Services against fraud, abuse, and unauthorized access, including limits on repeated form submissions

  • Comply with legal obligations

We do not use your information for targeted advertising.

How Do We Store, Use, Share, and Disclose Your Personal Information?

Storage: Website and dashboard information, and Platform information for cloud installations, is stored on servers we control. Files you upload are stored privately and are available only to you, to us, and to accounts you choose to share a project with. For on premise installations, Platform information is stored on your own equipment and is under your control.

Service providers: We share information only with providers that help us deliver the Services, and only as needed for that purpose:

  • Google Workspace, for sending and receiving email

  • Our hosting provider, for running our servers

  • Internet telephone (SIP) and text message carriers, for calls and messages

  • AI providers, such as OpenAI for language processing and Deepgram for speech recognition. During a call or message, audio, transcripts, and message content are sent to these providers for processing, including when the Platform runs on premise.

Other disclosures: We may also share information with accounts you choose to share a project with, with law enforcement or others when required by law or to protect rights and safety, and in connection with a merger, sale, or acquisition of our business.

We do not sell, rent, or trade personal information.

How Do We Communicate With You?

We contact you by email for account, project, invoice, and security matters, by phone when you ask for support, and by text message only if you agreed to it when you called us (see Text Messages below). We do not send marketing newsletters. If we ever offer one, it will be only to people who ask to receive it, with an unsubscribe link in every email.

Text Messages

If you call us and agree to receive text messages, Taskflowify, LLC may text you at that number about your appointment or your callback. We ask for your permission during the call, and we send texts only to people who said yes. Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop receiving texts, or HELP for help. You can also email support@taskflowify.com.

Your phone number and your consent to receive text messages are not shared with third parties or affiliates for marketing or promotional purposes. Text message carriers receive your number only to deliver the messages.

How Do We Use Cookies and Other Tracking Tools?

This website uses one essential cookie: a signed sign-in cookie that keeps you logged in and holds only your account identifier and role. We do not use analytics, advertising, or tracking cookies, and we do not use third party tracking tools on this website. You can block cookies in your browser settings, but you will not be able to sign in without the sign-in cookie.

How Long Do We Keep Information?

  • Account and project information: while your account is active, and afterward only as long as needed for the purposes below

  • Cloud Platform information: while your subscription is active. After your account becomes inactive, you have 30 days to download your data, and it is then permanently deleted.

  • On premise Platform information: stays on your equipment. You decide how long to keep it and are responsible for its backups.

  • Signed documents and invoices: as long as required by law or to document an agreement

  • Server logs: for a limited period, for security and troubleshooting

You have the right to:

  • Access your personal information

  • Correct inaccurate information

  • Request the deletion of your information

  • Obtain a copy of your information in a portable format

  • Opt out of targeted advertising, the sale of personal information, and profiling (we do none of these)
